Christian Surfers New Zealand respects your privacy and is committed to protecting your personal information.

This Privacy Policy explains what information we collect, why we collect it, how we use it, who we may share it with and the choices you have.

It applies to information collected through:

  • Our website and online shop

  • Events, camps and programmes

  • Christian Surfers local missions

  • CSALT and other Christian Surfers initiatives

  • Donations and supporter communications

  • Employment, volunteer and leadership applications

  • Feedback, safety concerns and complaints

  • Newsletters and other communications

We handle personal information in accordance with the New Zealand Privacy Act 2020.

The information we collect depends on how you interact with Christian Surfers New Zealand.

We normally collect personal information directly from you when you:

  • Register for an event, camp or programme

  • Join or contact a local mission

  • Make a purchase or donation

  • Subscribe to our newsletter

  • Apply for a role or programme

  • Submit feedback, a safety concern or a complaint

  • Contact or interact with us

We may also receive information from a parent, guardian, emergency contact, referee, staff member, volunteer, local mission leader or another person involved in an event or concern.

5. Why we collect and use information

We may collect and use your information to:

  • Manage events, camps, programmes and local missions

  • Communicate with participants, parents, guardians and supporters

  • Manage health, safety and emergency situations

  • Assess applications and registrations

  • Process purchases, donations, payments and deliveries

  • Issue confirmations, invoices and receipts

  • Respond to enquiries, feedback, safety concerns and complaints

  • Manage staff members, leaders and volunteers

  • Send newsletters and updates you have requested

  • Share photographs, videos or stories where appropriate

  • Improve our website, communications and activities

  • Prevent misuse and protect our people and systems

  • Meet legal, financial, safety, insurance and reporting obligations

We will generally only use personal information for the purpose for which it was collected, for a closely related purpose, with your permission or where permitted or required by law.

6. Is providing information optional?

Providing personal information is generally voluntary.

However, some information may be required for us to:

  • Safely include someone in an activity

  • Complete an order or payment

  • Assess an application or registration

  • Issue a donation receipt

  • Respond to an enquiry or concern

  • Meet a legal, insurance or safeguarding requirement

If required information is not provided, we may be unable to complete the registration, order or application, or safely include the person in an activity.

Some complaints may be submitted anonymously. However, anonymity may limit our ability to investigate, ask further questions or update you on the outcome.

7. Who we share information with

We only share personal information where it is reasonably necessary.

Depending on the circumstances, we may share information with:

  • Authorised CSNZ staff, volunteers, local mission leaders and Board members

  • Event, accommodation, transport, catering or activity providers

  • Website, email, database, payment and cloud-storage providers

  • Couriers and delivery providers

  • Medical professionals and emergency services

  • Insurers, accountants, auditors and professional advisers

  • Christian Surfers International or another Christian Surfers organisation where necessary

  • Police, Oranga Tamariki, regulators or other authorities where permitted or required by law

Access to medical, safety and complaint information will be limited to people who reasonably need it.

We do not sell or rent personal information.

Some service providers may store or process information outside New Zealand. Where this occurs, we will take reasonable steps to ensure appropriate privacy protections are in place.

8. Children and young people

Christian Surfers New Zealand works with children and young people.

Where appropriate, we may collect information and consent from a parent or guardian. We will only collect information that is reasonably necessary to support the young person, manage safety and deliver the relevant activity.

We may contact a parent, guardian, emergency contact, health professional or emergency service where reasonably necessary to protect someone’s health or safety.

9. Emergency contacts and information about others

If you provide personal information about another person, such as an emergency contact, parent, guardian, participant or referee, you should have a reasonable basis for providing it.

Where practical, you should let that person know their information has been provided to Christian Surfers New Zealand and direct them to this Privacy Policy.

10. Complaints and safety concerns

Information submitted through a complaint or safety form will be sent to the authorised person identified on that form.

We will handle this information as privately as reasonably possible. However, relevant information may need to be shared to:

  • Understand or investigate the concern

  • Give an affected person a fair opportunity to respond

  • Obtain professional or legal advice

  • Protect someone from harm

  • Meet a legal, insurance or safeguarding obligation

Anyone directly involved in or conflicted by a complaint should not be responsible for deciding its outcome.

We cannot promise complete confidentiality where information must be shared to respond fairly, protect someone’s safety or meet a legal obligation.

11. Photographs, video and stories

We may take photographs, video or audio recordings at Christian Surfers events and activities.

Where appropriate, we will provide notice or seek permission before publicly using identifiable photographs, recordings, testimonies or personal stories.

For children and young people, we may seek permission from a parent or guardian.

You may tell the event organiser if you do not wish to be photographed or recorded. We will take reasonable steps to respect your request.

12. Newsletters and communications

We may send newsletters, event information, fundraising communications or supporter updates when you have subscribed or otherwise agreed to receive them.

You can unsubscribe using the link included in an email or by contacting us.

Unsubscribing from marketing will not prevent us from sending information reasonably necessary to manage an order, donation, registration, application or safety matter.

13. Cookies and website analytics

Our website and technology providers may use cookies and analytics tools to operate the website and understand how visitors use it.

This may include information about:

  • Pages visited

  • Links and buttons clicked

  • Devices and browsers used

  • Where visitors came from

  • Website and campaign performance

These organisations are responsible for their own privacy practices. We recommend reviewing their privacy policies before providing personal information.

The current version will be published on our website with an updated effective date.
